GRCA Committee Procedural Guidelines

Title: Health and Genetics Committee

Receive and review research proposals

The Research Facilitator will receive research proposals from the AKC Canine Health Foundation, Morris Animal Foundation, other research foundations, and individual researchers. He will copy and distribute such proposals to the other members of the Committee, to the GRCA secretary, and to the GRF secretary in a timely manner.

The Committee will review and evaluate each research proposal, seeking outside expertise when necessary, and will determine funding and participation recommendations. The Research Facilitator will communicate the Committee’s recommendations, including specific reasons for such recommendations, to the GRCA Board and the GRF Board.

Facilitate and monitor research studies supported by GRCA

The Research Facilitator will contact the Principal Investigator (PI) of each GRCA supported project at the beginning of the study to establish communication, and to offer assistance and GRCA’s cooperation with the study. If assistance is requested, the Research Facilitator will take responsibility for following this through.

If the PI provides any articles, requests for research participation, or similar materials, the Research Facilitator will send such to the editor of the GRNews.

The Research Facilitator will sign Confidentiality Agreements as requested, and will receive periodic progress reports on research supported by GRCA. The Committee will be informed of the contents of such reports. The Research Facilitator will inform the GRCA Board and the GRF Board of any notable progress, concerns, or change in the status of the study.

The Research Facilitator will write periodic (approximately once per year) summaries of the current status of GRCA supported research studies. These will be provided to the GRCA Board, the GRF Board, and the GRNews.

Maintain communication with the AKC Canine Health Foundation, CERF, and other canine health focused organizations as assigned by the Board

The Committee will respond to yearly surveys from the AKC CHF, and will correspond with the CHF at other times as necessary to stay informed and perform its functions.

The Committee will receive and report on correspondence from other canine health focused organizations as assigned by the Board.

Answer appropriate questions from the membership

The Committee will answer personal letters and e-mails from GRCA members, or direct the member to a more appropriate source for assistance.

One member of the Committee will be designated to receive questions submitted for an “Ask The Veterinarian” column. These questions will be distributed to the Committee, and one person will be asked to write a response for the GRNews.

Assist the Editorial Review Board

If the Editorial Review Board requests assistance with review of an article submitted for the GRNews, each member of the Committee will be given a copy of the article. Committee members will be asked to review the article and provide a response within the time frame designated by the ERB.

Attend conferences and seminars on behalf of GRCA

A member of the Committee will attend conferences and seminars as directed by the GRCA Board, if possible. This may include, but is not limited to, the AKC CHF Parent Club Conference.

Any anticipated reimbursable expenses must be approved by the GRCA Board in advance, and receipts will be requested.

A written report or summary of the conference or seminar should be submitted to the GRCA Board and the GRNews.

Advise the GRCA Board and membership on health and breeding concerns, and Code of Ethics and advertising policies.

The Committee will respond to specific questions on these matters from the GRCA Board and membership.

The Committee should also be proactive in bringing relevant new information that pertains to these matters to the attention of the Board and membership.

Prepare twice yearly summaries of the activities of the Health & Genetics Committee for the GRCA Board, and for publication in the GRNews

The Committee will prepare a written summary of its activities, to be provided to the GRCA Board of Directors in advance of their annual and midyear meetings. This will also be published in the GRNews.

Obtain articles relevant to health and genetics for the GRNews

The Committee will proactively seek articles on health and genetic issues relevant to Golden Retrievers, and suitable for the GRNews. The Committee will forward these articles to the editor of the GRNews.

The Committee may also be called upon to write articles or summaries of important or new scientific information for the GRNews.

Promptly notify the GRCA Board if unable to fulfill committee responsibilities

If the Chairman, Research Facilitator, or Committee as a whole are unable to fulfill their responsibilities permanently or for an extended period of time, they should notify the GRCA Board.

Turn complete records and files over to successor

The GRCA Secretary will notify those in appointed positions when a replacement has been appointed, and will provide a name and address to which to turn over the records of this Committee or position.

Records should be maintained in a usable format, such as on computer disks or in an organized filing system or notebook.

Reports received under the restriction of a Confidentiality Agreement are exempt.
