GRCA Volunteer Opportunities

 GRCA BREED EDUCATION COMMITTEE

PURPOSE: The purpose of the GRCA Breed Education Committee (BEC) shall be to develop educational programs and materials that:

  • Recognize the Golden Retriever as primarily a hunting dog and encourage owners, breeders and judges to select Golden Retrievers that possess the appearance, soundness, temperament, natural abilities and personality reflected in the breed standard.
  • Educate breeders and owners in the care and enjoyment of their Golden Retrievers.

DESCRIPTION: The BEC shall consist of a BEC Chair and four subcommittees (Members’ Education, Field Education, Breeders’ Education, and Judges’ Education). Each subcommittee will have its own chair to lead the subcommittee and to coordinate the subcommittee work with the BEC Chair and other subcommittees as needed. The Design Team is available to assist committees in the production of educational materials and web applications. Upon approval of the final product by the initiating subcommittee, a prototype will be reviewed for overall BEC uniformity by the BEC Chair and if deemed warranted by the BEC Chair, or requested by the initiating subcommittee, may be submitted to any or all three other subcommittees for consultation. When a project has reached the satisfactory level, it will then be submitted to the Board of Directors for final approval and funding.

Any material developed by the Education Committees is deemed the property of the Golden Retriever Club of America.

Each subcommittee chair may request assistance from temporary consultants of their choice, without seeking Board approval, unless non-budgeted funding is required.

The Board of Directors shall publish the requirements for each position within the BEC, along with an application form, in the Golden Retriever News. The Board will review the applications received and make appointments based on the qualifications of the volunteers. After the initial two-year/three-year set of appointments that commenced in September 2004, all committee members shall be appointed to staggered two-year terms. Vacancies on the committees and non performance shall be addressed in accordance with Resolution NS-05-107

BREED EDUCATION COMMITTEE CHAIR

DESCRIPTION: To ensure the consistency of the overall message, the BEC Chair will be an ex officio member of all subcommittees and will advise and assist as needed.

Responsibilities: The BEC Chair shall:

  • Oversee the work of the four subcommittees.
  • Coordinate the work of the subcommittees with the Board of Directors, via the Board’s Liaison(s) to the BEC.
  • Approve routine, budgeted expenditures for payment by the Treasurer.
  • Submit to the Board for approval any program and project expenses exceeding the budget.
  • Maintain Committee Records.
  • Provide successor with all records and materials.

Qualifications: The BEC Chair shall

  • Be an organized, effective leader with good interpersonal skills.
  • Have documented involvement with Golden Retrievers for at least twelve years as a breeder and have participated in conformation, field, obedience or performance activities.
  • Have been a GRCA member for at least twelve years.
  • Have adequate computer skills in order to maintain effective communication with everyone involved within the BEC, including the Board of Directors

Special Projects: The Chair will assemble and maintain a bibliography and list of reference sources, with input from the four subcommittees and any other sources.

SUBCOMMITTEES:

DESCRIPTION:

Each subcommittee shall consist of five people one of whom shall be appointed chair.

Every effort shall be made to have at least one representative from each of the three geographic regions: East, central and west, on each of the subcommittees.

Each subcommittee shall develop project ideas for Board approval, and design and produce audio/visual programs, articles and brochures as approved by the Board.

For projects which involve field education, the Field Education Subcommittee shall be consulted prior to submission to the Board of Directors.

Each subcommittee member shall have adequate computer skills in order to maintain effective communication with everyone involved within the BEC, including the Board of Directors.

Chair Responsibilities:

  • Each subcommittee chairperson shall be an organized, effective leader with good interpersonal skills.

1. MEMBERS’ EDUCATION
Purpose: The purpose of the Members’ Education Subcommittee shall be to educate GRCA members in all facets of the Golden Retriever in an effort to enhance their knowledge and appreciation of the breed’s abilities, temperament, conformation, history and care.

Qualifications:

  • The four subcommittee members and the chair, as a group, must reflect a variety of interests, knowledge and experience.
  • All subcommittee members shall have been a member of GRCA for at least four years.

Typical topics/projects: Articles, brochures and audio/visual programs on a variety of topics, such as, but not limited to:

  • Selecting a puppy
  • Nutrition, housing, health care
  • Temperament and behavior
  • Grooming
  • Showing
  • Obedience
  • Tracking
  • Agility
  • Encouraging participation by juniors
  • Responsible dog ownership
  • Beginning training
  • Rescue
  • The breed’s heritage as a hunting dog
  • Breed history
  • Club policies, programs, code of ethics

2. FIELD EDUCATION

Qualifications:

  • The subcommittee chairperson shall have documented experience in at least WCX, Senior Hunter, or the Qualifying level in field trials and shall be knowledgeable and supportive of all areas and levels of field activity from a Working Certificate to a Field Championship.
  • The subcommittee members shall have been a GRCA member for at least eight years.
  • The six subcommittee members, as a group, shall reflect a full range of different field activity participation (GRCA Working Certificate program, AKC hunt tests, AKC licensed field trials and hunting).

Typical topics/projects: Articles, brochures and audio/visual programs on a variety of field training topics, such as, but not limited to:

  • How to train your puppy for field work.
  • How to train your Golden to become a Junior Hunter.
  • How to train for advanced hunt tests.
  • Hunt tests versus field trials; what’s the difference?
  • How to join a field training group and find grounds for training.
  • A glossary of field terms.
  • An overview of the WC/WCX program — objective, rules, necessary training and equipment.
  • The breed standard and its relationship to working field dogs.
  • What “primarily a hunting dog” really means.
  • Natural instincts versus trained responses.
  • Articles or other materials comparing the various field events.
  • Understanding the importance of preserving the Golden Retriever’s natural hunting abilities.

Characteristic/Talents Needed: An interest in children and their activities and accomplishments with Golden Retrievers.

             Must see that a list of the requirements of the Junior Achievement Award is printed in the GRNews and sent to all GRCA delegates for a July deadline.
Active solicitation for nominees through all other venues available.
Review all applicants; send resumes for applicants to the Board Liaison for Board distribution and decision.

Sales Manager
                             

GRCA COMMITTEE JOB RESPONSIBLITY

COMMITTEE TITLE – SALES MANAGER

Committee of: One

  • Committee Type: Ongoing

  • GRCA Equipment: GRCA tents, GRCA merchandise, cash box, credit card validator, credit card slips, merchandise display equipment
  • Materials Necessary:Samples, catalogs, periodicals as needed
  • Supplies Needed: Stationary*, postage*, shipping containers*, order forms*, E-mail, word processing, spreadsheet capability (for example, Excel) and access to the internet.

Skills Required:

  • Ability to maintain accurate records of sales and inventory.
  • Ability to organize and manage a variety of inventory.
  • Familiarity with retail practices.
  • Imagination and resourcefulness in identifying new sales items, locating suppliers, tracking market trends and developing advertising. Care over details is more important than artistic flourish in this position.
  • Patience and composure in dealing with consumers.

Responsibilities:

  1. Record Keeping:
    Provide monthly sales summary report in format provided by Treasurer by the 10th of the month.
  2. Vendors and manufacturers:
    1. Review catalogs and periodicals for ideas for merchandise.
    2. Research and negotiate the best prices for purchase of merchandise.
    3. Obtain demonstration models, proofs, color swatches or other samples for evaluation and approval by the Board of Directors.
    4. Select items that will be popular; set prices and shipping costs which will generate a reasonable profit.
  3. Sales at the National:
    1. Supervise and arrange for shipments of merchandise to and from National, set up and dismantle sales booth. Assist in sales if needed.
    2. Along with Treasurer, open a safe deposit box at the host hotel. Transport cash receipts to safe deposit box at end of each day. Assure that seed money returns to booth each morning.
    3. Instruct Board of Directors and other staff on sales of merchandise, use of the credit card machine and sales procedures prior to the start of the National Specialty.

    5. Manage the booth to insure Board of Directors and staff are trained. Prices and shipping costs to be determined in advance and made accessible to sales staff. Monitor the booth’s efficiency and make corrective changes as necessary.

    7. Take inventory before and after the National to assess how the merchandise moved.
  4. Inventory
    1. Recommend discontinuing items when they are no longer popular or cannot be sold at a reasonable price. Develop and promote creative ways to liquidate obsolete inventory.
    2. Annually review all items and sales records with Board Liaison in June or July to allow sufficient time for additions/deletions prior to the National.
    3. Prepare proposal of new items to debut at National with Board Liaison who will present for Board approval.
  5. Advertising.
    1. Notify GRNews Editor when prices or items are changed on single order form.
    2. Notify Editor to run special ads.
    3. Work with Editor to design ads for new merchandise, special promotions, clearances, etc.
    4. Investigate/implement ways to advertise to non-members and direct them to the web store.
    5. Monitor GRCA web site to ensure the GRCA Store information is up to date and accurate.
  6. Single order form for all merchandise.
    1. Maintain a combined order form for all merchandise.
    2. Coordinate with the Membership Administrator for its inclusion with renewal notices
    3. Update the order form as necessary and provide updates to all who publish it, i.e. the GRNews, the new member packets, the renewal order forms, etc.

Additional comments. Transportation and hotel room (or RV space) at the National Specialty will be paid for by GRCA. This will be in accordance with the current GRCA transportation reimbursement policy. If a vehicle is necessary for the transportation of merchandise, GRCA will pay for that also. In return, the Sales Manager is expected to organize the setting up and taking down of the Sales booth and to staff it, or see that it is staffed, during the hours the booth is open at the National.

  • GRCA Equipment:GRCA merchandise, cash box, credit card validator and machine, credit card slips, garment racks, hangers, extension cords.
  • GRCA Provides: Transportation to and from the National Specialty.
    Hotel Accommodation or RV parking
    Rental Car if needed.

Skills Required:

  • Ability to organize and manage a variety of inventory.
  • Familiarity with retail practices and GRCA sales items.
  • Patience and composure in dealing with consumers.
  • Ability to maintain accurate records of sales and inventory
  • Stamina to be able to lift the shipping cartons and be able to stand for several hours.
  • Honesty and trustworthiness regarding financial transactions.

Responsibilities:

  • Work with the Sales Manager to develop product and marketing for the National.
  • Provide feedback from customers to SM as to merchandise they would like to purchase.
  • Staff sales booth along with Board of Directors.
  • Daily set up, take down and management of booth.
  • Help additional staff as well as customers with information about the items for sale such as pricing, sizing, how the item washes, fiber content, etc.
  • Take orders for merchandise not available at the show.
  • Present the merchandise in an attractive manner so as to entice sales.
  • Keep the merchandise neat and restocked throughout the day.
  • When possible, arrange for merchandise to be sold at the various venues such as the tracking test, WC/WCX, and hunt test.
  • Will report financial, inventory and operations data daily to the Sales Manager.
  • Supervise and arrange for shipments of merchandise to and from National

 Yearbook Editor

Equipment Needed:    Computer, printer, scanner, Fax, Internet access and email
(not provided or paid for by GRCA)

Skills Required:      

  1. Be organized, detail oriented, able to meet a deadline, and have the ability to delegate.
  2. Computer skills needed: able to use the Internet, comfortable with email, and have a working knowledge of Microsoft Word and Excel.
  3. Ability to prepare written reports and notices suitable for publication on the GRCA website and in the GRNews.

Responsibilities: 

  1. Recruit, organize, and manage the Database Editors.
  2. Assist the GRCA Statisticians with the GRCA titles, these include OS/OD, VC/X, WC/X, CCA, Star awards.
  3. Verify and enter Pedigree information when appropriate.
  4. In April, send out Award emails to members.
  5. Monitor photos uploaded to the database (can be delegated).
  6. Answer inquiries from members.
  7. Promptly notify the GRCA Board if unable to fulfill committee responsibilities.
  8. Turn complete records and files over to successor.
